KIT user account - KIT account
-
The KIT user account, also known as the KIT account, is the basis for many IT services in the KIT network for all KIT members. It provides access to systems and services and is generally used as a "login" in the KIT environment.

General information
The personal KIT user account (also called KIT account) enables KIT employees, students, as well as guests and partners of KIT to use a wide range of IT services inside the KIT network.
The account is used for logging on to the KIT domain KIT.EDU and can be equipped with additional rights, e.g. VPN access, printer permissions, file-storage spaces, etc. Access to the KIT Intranet, Campus Management, other portals (e.g. SCC Self-Service Portal) or web servers is also controlled via this account.
Every KIT account has a login name. For employees, guests and partners the format is ab1234; for students the format is uabcd. The login name is unique within KIT. Authentication to KIT‑IT services is normally performed with this login name; for some services the e‑mail address can be used as an alternative login.
Sources of Master Data
The basis for personal user accounts are master data that are recorded in the Personnel Service, the Student Service, or the Guest‑and‑Partner (GuP) administration. Only on the basis of these data are accounts created and managed by the central Identity Management (IDM) of the SCC.
Changes such as organisational re‑assignments or name changes cannot be performed directly in the IDM; they must be carried out in the source systems. When a critical change is received, the IDM notifies the responsible parties by e‑mail.
All personal user accounts are time‑limited and, for example, tied to a contract or to enrolment. If the underlying condition ceases to exist, a process is started that blocks the account and deletes the personal data. Different time‑frames apply; the IDM automatically informs the user in each individual case about the exact procedure.
E-mail-addresses
Each personal KIT user account is provisioned with an Exchange mailbox. E‑mail addresses are generated automatically from the IDM data:
- Employees: firstname lastname ∂does-not-exist.kit edu
- Guests & Partners: firstname lastname ∂does-not-exist.partner kit edu
- Students: loginname ∂does-not-exist.student kit edu (pseudonym!)
The usual e‑mail address for students is a pseudonym of the form loginname ∂does-not-exist.student kit edu. An additional address firstname.lastname@student.kit.edu can be created on request in the SCC Self‑Service Portal.
Employees may also create an alias in the SCC Self‑Service Portal, provided that the alias has a clear relation to their own name according to the defined naming rules.
When the IDM detects a name change, new e‑mail addresses are generated in addition to the existing ones. To ensure reachability, the former addresses (which contain the old name) are not deleted automatically. Deletion can be initiated on a case‑by‑case basis via the SCC Service Desk. The IDM automatically informs the user about the name‑change reception and the creation of the new e‑mail addresses.
Assignment, receipt and activation of the KIT user account for KIT employees
New employees receive the credentials for their KIT user account by internal mail (Hauspost) addressed to their organisational unit (OE). This enables activation of the personal KIT account on the first day of work.
If there are problems with the master data, please contact the personnel officer responsible for your OE at PSE. Further information on activation can be found in the service description Activation of employee, guest and partner accounts.
Assignment, receipt and activation of the KIT user account for KIT students
When students are admitted through the regular application process, the information needed to activate the account is made available digitally in the applicant portal. In other cases the credentials are sent by post to the address given during the application process.
After activation in the student portal, students can use all services that are linked to the user account (see the Student Info page).
If master‑data problems occur, please contact the responsible officer in the Student Service.
Assignment, receipt and activation of the KIT user account for guests and partners of KIT
Master data for guests and partners are managed decentrally by the respective organisational units. Your contact persons in those units can assist you.
Also refer to the service description “guest and partner administration (GuP)” and the service description Activation of employee, guest and partner accounts.
Changing the password for the user account
During the initial activation a new password must be set. Subsequent password changes can be performed at any time in the SCC Self‑Service Portal at https://my.scc.kit.edu/shib/passwort.php.
Deactivation of a KIT user account
All KIT user accounts are provided for a limited period (e.g., tied to an employment contract or enrolment).
The exact de‑activation procedures differ by role, but in every case an e‑mail is sent in advance that explains the process for the respective account. To enable orderly handling within the OE of the affected account, the OE’s IT contact list also receives this notification for employees, guests and partners.
Special cases:
- Lecturers: if access is required after the teaching contract ends, eg. to to be available for examinations, questions regarding the lecture, etc. the account can be kept active for an additional year by SCC.
- Emeritus (retired professor): Individuals whose user accounts carry this status are provided indefinitely.
Re-Entry (Re-instatement)
If a former employee, guest, partner or student re‑enters (e.g., via a new contract or a new enrolment) before the account has been blocked, the IDM sends an automatic notification.
If the account has already been blocked, it is re‑enabled.
If the account has already been deleted, a brand‑new account with a new login name is created; the previously deleted data cannot be restored.
